Thank you for your interest in hiring a space at The Bryan Brown Theatre and Function Centre.

The refund of your bond will be paid by EFT unless otherwise negotiated. Please note that the organisation/name below must match the recipient name on the invoice for the hire of the function space/theatre.


5. ADDITIONAL INFORMATION

STAFFING RATES

Please discuss with your venue contact for when the following staffing fees may apply to your booking. Minimum staff hours apply. Please enquire about public holiday rates with our Venues Booking Team.

  • Audio-visual technical staff  (minimum call of 4 hours) – Required for all theatre events

  • Set-up and pack down staff  (minimum call of 3 hours) - Venue hire fees do not include staffing fees to set-up and pack down your hired rooms i.e. venue furniture/equipment/catering requirements etc.

  • Cleaning staff  - Areas hired need to be left clean and tidy. Cleaning fees may be charged if the venue is not left as it were found and may also be required for large events to service the front of house areas

  • After hours staff  (minimum call of 3 hours) - Required for any venue access prior to 8am and after 5pm (Monday-Friday) and 9am-4pm (Saturday) and 1pm-4pm (Sunday) subject to management discretion

  • Security staff  (minimum call of 4 hours) - Should it be deemed necessary to provide security for your booking these costs will be on-charged to the venue hirer. It is up to Management’s absolute discretion to deem if security is required.

FOOD AND BEVERAGE

Food and beverage provision at The Bryan Brown Theatre & Function Centre can be through the venue or through an external caterer on the condition that a Business Registration Certificate of the caterer is supplied and approval received from venue management. A representative with a current Food Safety Supervisor Certificate (hirer) is also required to be onsite at all times during catering preparation and service. The hirer is responsible for any equipment/facility required to maintain food temperature standards. The venue are not able to supply any refrigeration or heating equipment. Please contact venue management to discuss your catering requirements.

Should home-made food or food from outlets be sighted in the venue without prior approval the guest will be asked to remove the items from the venue or the item/s may be confiscated.

Due to our liquor licencing agreement no alcohol is to be brought onto the premises by third parties nor can it be removed from the premises if purchased on site. Alcohol is available for purchase from the bar during selected times.

COMMUNITY GROUPS

Community groups seeking the discounted community rate are to provide documentation that proves your organisation’s not-for-profit status. Please provide a copy of one of the documents below (must include your hire organisation name):

  • Certificate of Incorporation (from the Department of Fair Trading) OR

  • An Authority to fundraise (from the Department of Gaming and Racing) OR

  • Income Tax Exempt Charity Statement (from the Australian Taxation Office)

A not-for-profit (NFP) certificate is required to access community rates. If a copy of a NFP certificate is not provided to the venue 14 days from the event, standard rates will apply


INSURANCE

Incorporated bodies, government departments, educational, religious organisations, commercial enterprises and private bodies must provide a minimum of $20,000,000 Public Liability Insurance cover, or such other amounts that may be specified from time to time.  This policy must name Canterbury-Bankstown Council as an interested party.

PLEASE NOTE

  • No booking is confirmed until a bond and full payment (function room hire) / 20% deposit (theatre hire) is made and a confirmation e-mail is received

  • All bookings must be submitted a minimum of 5 business days before the requested hire date

  • Bookings requested outside of this time frame may result in a late fee

Once your application has been approved by the Venue Bookings Team, you will receive the following:

    • A confirmation email from bryanbrowntheatre@cbcity.nsw.gov.au

    • For Function hire – an invoice for your $200 bond and an invoice for your full room hire

    • For Theatre hire – an invoice for  your $500 bond and an invoice for your 20% deposit of your estimated hire costs


6. AGREEMENT

The Organisation/Group/Individual agrees to use The Bryan Brown Theatre & Function Centre on the following terms: 

  • To abide by the Terms and Conditions applying to the use of The Bryan Brown Theatre & Function Centre;

  • To use the hired area only for the agreed time and purpose specified on the application;

  • To ensure the maintenance of good order in the venue during its use and to leave the hired area, on each occasion of use, in a clean and tidy state;

  • To report any damage to the venue immediately;

  • If an insurance claim is made the hirer may be responsible for the excess fee.

INDEMNITY AND RELEASE

INDEMNITY

agrees to indemnify Canterbury-Bankstown Council from and against all actions, claims, costs, losses, expenses and damages (including the costs of defending or settling any action or claim) in respect of:

Loss of, loss of use of, or damage to property of the Hirer; or Personal injury (including death) or illness to any person or loss of, loss of use of, or damage to any property; resulting from or by reason of anything done or omitted to be done by the Hirer arising at The Bryan Brown Theatre & Function Centre.

The Hirer’s liability to indemnify Canterbury-Bankstown Council is reduced proportionally to the extent that a negligent act or omission of Canterbury-Bankstown Council or its employees has contributed to the injury, damage or loss.

RELEASE

The Hirer unconditionally releases Canterbury-Bankstown Council from all claims, suits, demands, actions or proceedings (whether at law, in equity or arising under any statute) arising out of or in connection with an act, default or omission of the Hirer or any of the Hirer’s Agents.

The Hirer agrees not to sue or make any claim or demand against Canterbury-Bankstown Council in respect of matters covered by this release.

I, the hirer, have read, understood, and agree to abide by the Canterbury-Bankstown Council Terms and Conditions for the hire of The Bryan Brown Theatre & Function Centre.

I agree to be fully responsible for the payment of fees and any additional charges arising out of hiring, in accordance with the terms and conditions that have been supplied to me.

I declare that the information supplied by me on this form is complete, true and correct to the best of my knowledge.
